How to Design Swimlane Process Flow Diagram in Visio?

In this article, we will develop a process flow diagram process a flow diagram is also known as a swimlane diagram has a clearly defined start and end of the process and also shows individual swimlanes for each participant in the process.

In this article, I'll show you how to create a process flow diagram of the procurement approval process using the Microsoft Visio 2021 to create a procurement process approval workflow.

We will use Business Process Management notation BPMN  so we will search for the template for the BPMN diagram and once the template is created we'll start but great by the creation of the swimlane.

There are two options to start we can start from the blank page or we can select the template. If we will select the blank page then a blank page will appear on the Visio document along with the BPMN Basic Shapes will appear on the left-hand side of the artboard in Visio.

On the other hand, if we will select the template then a swimlane process flow diagram will be open along with the BPMN Basic Shapes on the left-hand side in the Visio. Also, show the detail about the swimlane diagram in Visio.

As we can see in the following screenshot.

In this article, we are going to design a swimlane diagram from the blank page with the BPMN Basic Shapes in the Shape panel.

I selected the swimlane in the list of stencils in Visio and edit the new swimlane for the requester as a first step. 

We will bring the start symbol into the diagram. Also, we can add an insert with the help of the text box and write the text in the text.

You can see Visio allows us to use this triangle to add additional shapes and we will add an activity shape and we will call it to submit a request.

I develop a diagram that might recall some additional details and we can insert a round rectangle then add text on it by double click on it. 

I would like to add that I'm going to zoom in using the zoom-in feature inside Visio. We can zoom our document according to the requirement. With the help of the zoom, we can work on our document with more concentration.

We can see there is a zoom option on the right-hand side at the bottom. With the plus-size, we can increase the zoom and with the minus option, we can decrease the zoom option. If you want to know more about the zoom then you can click on "Zoom". 

We can insert information according to our willingness and we are going to insert a few shapes according to our requirements.

Now we want to insert the other swimlane process for another interval then we will insert the Pool/Lane from the shape pane. Just click and drag from the shape pane into the artboard in the Visio.

(Note: If we want to insert any other shape in our swimlane diagram then we can open any other page i.e: Basic Flowchart Shape then just search from the or we can just open from the pop-down menu.)

As we can see in the attached screenshot after inserting the Pool/Lane from the shape pane.

If we want to increase the size of our process. For example, if we have a huge data in our process then we have to increase the size of our process according to our requirements.

What we do now. We just click a shape from the shape pane and drop it in our process then connect all shapes with the help of the connector tool.

Now we are going to insert shapes then see what happens after inserting shapes in our process and then we double click on it then data text to it.

Now, we will use the connector to connect the shapes to each other in our drawing to make the swimlane process flow diagram more understandable and make it easy to understand.

If we want to write any text on our connected line then we just double click on the connector line then a text box will appear on it then simply we can type text on it.

As we can see that text is inserted into the connector line and similarly we can go with the other connector line in the same way in our Visio diagram.

Similarly, we will continue the same process for another step in designing our swimlane process flow diagram in Visio.

As we can see that our swimlane process flow diagram is inserted in the Visio drawing.
